  Reporting Relationships
Reports to: Supervision is received from the Director of Business Services
Supervision Exercised: Supervision is exercised over non-exempt support staff and possible part-time or student wokers.

Job Summary
Supervise day-to-day operations of Distribution and Print Services departments.  Oversee the supervision of personnel, which includes work allocation, training, and problem resolution; evaluate performance and make recommendations for personnel actions.  Develop budget and oversee expenditures for both departments.  Determine work load for Distribution and Print Services and assign staff as needed to fulfill needs. Sustain and improve the delivery of mail and freight to the main campus locations as well as satellite sites.  A working manager able to assist, as needed, in any function of the Distribution Center or certain basic aspects of Print Services. 
Essential Duties and Responsibilities include the following.  Related duties may be assigned.
  • Supervise personnel, which includes recommendations for hiring, firing, performance evulation, training, work allocation, and problem resolution. Administer disciplinary actions for Distribution and Print Services as needed.
  • Develop budget for Distribution and Print Services and determine a plan for equipment replacement.
  • Interface with administrators, faculty, staff, and students on prioritizing and scheduling job production for Print Services.
  • Operate and perform routine maintenance and upkeep on postage machine, bulk mail system, office equipment, and assistant in the routine maintenance of printing equipment utilized in Print Services.
  • Develop and maintain the standard operating procedures for Distribution and Print Services.
  • Assist in ordering and maintaining all supplies for printing inventory.
  • Assist in setting the pricing on copies and print work.  Provide quotes to requesting areas.
  • Maintain the Distribution database so that the correct chargebacks are given to the appropriate departments for postage, shipping, and Central Stores.
  • Ensure department chargebacks for printing are accurate and appropriate for printing services.
  • Prepare reports as needed from Distribution or Print Services’ databases.
  • Oversee mail pick up at the post office and delivery of posted correspondence to the correct vendors each day.
  • Balance freight vendors’ invoices monthly against Distribution Center shipping records for correct charges and notify vendors if error in billing.
  • Advise College personnel regarding the receiving and delivery of goods or printing services.
  • Recommend and develop cost savings in regards to staffing, inventory and mail/freight processes
  • Oversee the functions of Distribution Center which includes Central Stores inventory, campus transfers, delivery of freight and mail and campus storage. 
  • Communicate regularly with Director of Business Services on Distribution Center and Print Services’ activities.
  • Troubleshoot printing equipment, mail handling, and office equipment problems.  Identify and contact repair technician as needed
  • Maintain printing, receiving warehouse, and storage areas
  • Manage postage and freight pre-paid dollars to assure no delay in mail and freight processing
  • Attend postal and printing seminars and keep aware of industry changes
  • Actively participate on College committees as assigned
  • Dispatch all classes of outgoing mail and materials as needed
  • Operate and maintain material handling equipment, such as forklift, pallet jack, 2-wheel hand truck, 4-wheel cart, etc.
  • Maintain MSDS sheets and safe storage of all chemicals in Distribution and Print Services Departments.
  • Maintain a valid driver’s license
  • Perform related duties as assigned.
  • Regular attendance is expected.

Minimum Qualifications
Associates degree is required and 5 to 7 years of experience in mail service area or combind equivalent work experience.
  • Supervisory experience required.
  • Must have a working knowledge of Microsoft Windows Suite.  Experience working with spreadsheets and databases preferred.
  • Must be able to lift heavy loads at times.  Valid Driver’s license is required.  Forklift certification or experience.
  • Knowledge of printing/digital production is preferred.
Work Environment
While performing the duties of this job, the employee regularly works in an office setting, though at times may commute to buildings and be exposed to outdoor elements.
